Human Resources Assistant

Position Summary

  • Administrative Support to HR Director
    Provide daily administrative support, including scheduling, document preparation, and coordination of HR activities.
  • HR Department Organization
    Develop and maintain organized filing systems (both physical and electronic), manage employee records, and create tracking tools to support HR operations.
  • Recruitment & Onboarding Support
    Assist with job postings, applicant tracking, interview scheduling, reference checks, and preparation of onboarding materials and documentation.
  • Workforce Planning Support
    Maintain vacancy reports and staffing trackers, and assist with data collection and reporting related to workforce planning.
  • Policy & Document Management
    Organize HR policies, templates, and forms, and support drafting or revising documents as directed.
  • Training & Development Coordination
    Coordinate training schedules and maintain accurate training records.
  • General HR Operations Support
    Provide administrative, logistical, and records management support across HR functions while maintaining strict confidentiality.

Daily and Monthly Responsibilities:

  •  Provide administrative and coordination support to the HR Generalist in the delivery of HR programs and initiatives aligned with organizational priorities.
  • Schedule meetings, prepare materials, take minutes, and follow up on action items related to employee relations, performance discussions, and HR projects.
  • Support onboarding and offboarding processes, including preparing documentation, coordinating orientations, tracking probation periods, and ensuring required forms are completed.
  • Maintain and update employee files and HR information systems, ensuring accuracy, confidentiality, and compliance with applicable policies and legislation.
  • Assist with drafting, formatting, and updating HR policies, procedures, templates, and internal communications.
  • Respond to routine employee inquiries and direct more complex matters to the HR Generalist as appropriate.
  • Conduct research on HR best practices, employment standards, and workplace policies to support program development and continuous improvement.
  • Collect, compile, and maintain HR data; assist in preparing regular and ad hoc reports, surveys, and tracking documents.
  • Support coordination of training sessions, workshops, and employee engagement initiatives.
  • Assist with Health and Safety administration, including scheduling meetings, maintaining records, and tracking action items.

·     Liaise with external vendors and service providers as directed, supporting documentation and communication processes.

·     Support the preparation and tracking of HR-related documentation, proposals, and reporting requirements.

·     Handle sensitive and confidential information with discretion and professionalism.

·     Perform other administrative and support duties as assigned by the HR Generalist or Chief Financial Officer.

Skills and Qualifications

·     Diploma in human resources, business administration and/or willing to take training. 

·     minimum of one (1) year of experience in human resources, or business administration.

·     We’ll consider an equivalent combination of education and experience.

·     Exceptional communication skills – Excellent verbal and written communication with 100% fluency in English.

·     Ethical and unbiased mindset.

·     Committed to fair process, transparency, and structurally fair service provision.

·     Adept at problem solving and conflict resolution.

·     Working knowledge of HR policies and systems.

·     Familiarity with HR software and working knowledge of MS Office.

·     Demonstrated ability to interpret and make decisions in accordance with human resources policies, procedures, and employment standards under the Canada Labour Code

·     Environmental and industry trends impacting organizations and shaping the future of work and future workforces.

·     Ability to maintain a high level of confidentiality. 

Preferred Qualifications:

Chartered professionals in Human Resources (CPHR) or Certified Indigenous Human Resources Professional (CIHRP) designation are an asset.

Hours of Work: Normal day shifts – 8:30 AM-4:30 PM. non-normal shifts may be required.

Pay Grade: Starting Wage $25.64–$29.05 per hour (depending on education & experience)
